Privacy Notice
This notice stands on its own. You do not need to read our Terms or our End User Licence Agreement to understand it. It tells you, item by item, what personal data we hold, why we hold it, and how to make us stop. Please read it before you buy a licence.
1. Who we are
MIR SOLUTIONS LLP, a limited liability partnership registered in Pune, Maharashtra, is the Data Fiduciary for the personal data described in this notice. That means we decide why it is held and how it is used, and we are answerable for it.
SmartTutor is the software you install on your computer. This notice covers two things: the licence you buy from us, and the software itself. They hold different data, and it is worth keeping them apart.
2. What we hold about you, item by item
This is everything. There is no hidden category.
| What | Why we hold it | Where it lives |
|---|---|---|
| Your email address | To send you the licence code you paid for, to send a fresh one if the first is lost, and to prove a master code belongs to your institution if you ask us to resend it | Our licence database |
| A machine identifier — the Windows machine GUID of the computer you activated, or a synthetic identifier for an institution licence | An individual licence is bound to one machine, so we need to know which. An institution licence uses a synthetic identifier and is not bound to any machine | Our licence database, and in the payment order notes |
| Your Razorpay payment identifier and subscription identifier | To recognise your purchase, to process a refund, and to let you prove ownership of a code using your own receipt | Our licence database |
| Your institution's name, if you bought an institution licence | So the master code is issued to, and traceable to, the right school | Our licence database |
| The commercial state of the licence — plan, term, expiry date, whether it is active, refund state, how many machines have activated | To keep the licence working, to renew it, and to tell you how many machines are using an institution licence | Our licence database |
Your card details never reach us. Razorpay collects and holds them, under its own privacy notice and its own obligations as a regulated payment provider.
3. What we do not hold, at all
This is the important part, and it is the reason SmartTutor was built the way it was.
- We do not hold your child's name, grade, board, medium or stream. That is in the profile on your own computer. The name never leaves the machine at all; the grade and board are included in the request to the AI service so that answers match the syllabus, and section 3A sets that out in full. On an institution licence there is no student name anywhere — the profile carries the school's name instead.
- We do not hold textbooks, homework, scanned pages, revision notes or chat history. All of it stays on your machine.
- We do not receive your child's questions or the AI's answers. The app sends them to the AI service using your own account and key, from your computer, and the replies come straight back to your computer. What that request contains is set out in full in section 3A.
- We hold no usage data, no analytics and no telemetry. The software does not report how it is used. This is not a setting you can switch off — the reporting does not exist.
3A. What is sent to the AI service, in full
We do not receive it, but we do decide what goes into it, so we should tell you exactly. When the tutor answers a question, the request to Sarvam contains: the grade, board and tier you set; the teaching language; the question your child typed; any homework text they pasted; the subject and chapter; and the textbook content for that chapter. For a scanned textbook page, the page image is sent to Sarvam's document service to be read.
Nothing else is included, and in particular no name of any kind — no first name, no surname — and no email address, no phone number, no address, no location, no device identifier, and no licence or payment information. There is no personal identifier in the request at all.
On an institution licence, the profile carries the school's name rather than a student's, so none of the above includes a student name — there is no student identifier in the request at all.
Sarvam acts on those instructions, so it is our processor for this data and is bound by the terms of the account you hold with it.
4. Why we are allowed to hold it
We hold the items in section 2 on the basis of your consent, which you give when you buy a licence and which you may withdraw at any time. Some of it we must keep to comply with tax and accounting law, and we will tell you if that is why we cannot delete something you have asked us to remove.
We do not use your data for advertising, we do not profile you, we do not sell it, and we do not share it with anyone except the service providers named below.
5. Who else touches it
| Provider | What for |
|---|---|
| Razorpay | Taking the payment and holding your card and KYC details. Razorpay is a separate fiduciary for that data. |
| Our website host | Serving the website and running the licence functions. |
| Our database provider | Storing the licence records described in section 2. |
| Our email sender | Delivering your licence code. |
| Sarvam AI | Answering your child's questions. You contract with Sarvam directly, using your own key, so we are not part of that flow and never see it. |
Some of these providers operate outside India. We will tell you which countries are involved if you ask, and we will not transfer your data anywhere that Indian law does not permit.
6. How long we keep it
Your licence record is kept for as long as the licence is live, and for a limited period afterwards so that a renewal, a refund or a dispute can still be handled. When that period ends we delete it or strip it of anything that identifies you. We do not keep it indefinitely.
7. What you can ask us to do
You can, at any time and free of charge:
- Ask what we hold about you, and get a copy.
- Ask us to correct anything wrong.
- Ask us to delete it — and we will, except for what tax and accounting law requires us to keep, and we will tell you plainly if that applies.
- Withdraw your consent at any point. Withdrawing it stops future use; it does not make what happened before unlawful.
- Nominate someone to exercise these rights for you if you die or become unable to.
To do any of these, write to the address in section 9. Withdrawing consent is as easy as giving it: one email is enough.
8. If something goes wrong
If there is a personal data breach that affects you, we will tell you and we will tell the Data Protection Board of India, as the law requires.
If you are unhappy with how we have handled your data or your request, tell us first — we would rather fix it. If you are still not satisfied, you have the right to complain to the Data Protection Board of India, and we will give you the details you need to do so.
